The 3 Rules of Addressing Your Cover Letter in 2023

You’ve finally sat down to write that cover letter (good for you!), but immediately you run into a roadblock: How do you even start the darn thing? Who do you address it to? Should you use Mr. or Ms.? Do you include a first name? And what if you’ve searched high and low, but can’t find the hiring manager’s name? 

Don’t fret! Follow these three rules for cover letter salutation salvation.

Rule #1: Address your cover letter to the hiring manager using a formal, full-name salutation (if possible).

For a cover letter, you should always default to addressing it to the hiring manager for the position you’re applying to. Unless you know for sure that the culture of the company is more casual, use the hiring manager’s first and last name. You can include a title, such as “Mr.” or “Ms.” (never Mrs. or Miss). But if you aren’t crystal clear on whether to use “Mr.” or “Ms.” and can’t find their pronouns with a little Google and social media searching (and you don’t have an easy way out with a “Dr.”), just drop the title. Omitting it is infinitely better than accidentally misgendering someone .

Most letters I see still use the “Dear” greeting, though I’ve seen a growing trend of people dropping it and starting with “Hello” or just the name. Any of these works. The most important part is having the actual name . Never use “ To Whom it May Concern ” or “Dear or Sir or Madam”—nothing could be more generic (not to mention archaic). Your cover letter could be the first opportunity you have to make an impression on the hiring manager, so make sure you show that you did your research .

For example, you can address your cover letter by saying:

  • Dear Ms. Jacklyn O’Connell,
  • Hello Mr. Kevin Chen,
  • Dear Niko Adamos,
  • Hello Jean Butler,
  • Tiana Richards,

Rule #2: If you don’t know the hiring manager, guess.

Sometimes, even after hours of online searching ( try these tips ), you still might not be able to definitively figure out who exactly the hiring manager for the position you’re applying for is—and that’s OK.

If you can only find a list of the company’s executive team, use the head of the department for the position you’re applying for. In the end, no one will fault you for addressing the letter higher up than necessary. This approach is definitely better than not using a name in your cover letter, because it still shows the time and effort you took to find out who the department head is.

Rule #3: Be as specific as possible.

So you’ve done your due diligence and after an exhaustive search—nothing. You just can’t find a single name to address your cover letter to. If that’s the case, don’t worry. The company is likely privately held with no reason to share who its employees are—and, more importantly, is aware of this.

If this is the case and you don’t have a name to use, try to still be as specific as possible in your greeting. Consider using “Senior Analyst Hiring Manager” or “Research Manager Search Committee”—something that shows that you’ve written this letter with a particular audience in mind and aren’t just sending the same generic letter for every job opening.

  • Dear Software Developer Search Committee,
  • Hello XYZ Co Marketing Team,
  • Dear Junior Accountant Hiring Manager,

Ultimately, you want your cover letter to convey your interest in the position. To start off on the right note, make your salutation as specific as possible—ideally with the name of the hiring manager. Of course, that can’t always happen, but as long as the effort is clearly made, you’ll be showing whoever reads your cover letter that you’ve put time into your application and are truly excited about the opportunity.

Check the job listing. One simple way is to look at the application and double-check that the hiring manager’s name isn’t on the main listing. Sometimes the information isn’t on the application, but rather on the job listing. If it isn’t there you will then have to start doing a little bit more investigative work.

Check LinkedIn. You can check on LinkedIn and on the company’s website to find the hiring manager’s name. If nothing shows up, then you will have to start contacting someone at the company to find out.

Contact the company. Now, this does not mean you should contact some random person at the company who lists the company’s name on their profile. Find the contact information for the HR department, for someone who works in HR, or for the head of the department you are trying to work in and ask them if they know the name of the hiring manager for your application.

Sometimes, they will not give this information, simply so that the hiring manager can stay anonymous and not get a billion emails from applicants. This situation is more likely to happen with massive companies like Google or Apple.

If they give you a name, use it. If they don’t, then you will have to then move on to the next step of figuring out how to address a cover letter to an unknown person.

No Name? No Company Address? Here’s How to Address Your Cover Letter

You were almost done with your application, but approaching the finish line, you hit a snag. How are you supposed to write a cover letter without the company address? How about a cover letter without the name of the hiring manager? You don’t want to make a bad first impression, and you don’t want your application to be misplaced. Fortunately, there are a few ways around this.

Addressing a Cover Letter with No Name

Letters are a type of social interaction, so it’s best to address letters to their recipient. But, if you don’t know the name of the person receiving your resume and cover letter, you do have options:

  • Do some light research. Before addressing a letter to an unknown recipient, start by searching the company websites for the name of hiring managers, recruiters, and HR employees. You can also search through LinkedIn, or by using GlassDoor’s interview section. For many smaller organizations, it’s also possible to email and ask.  
  • Keep it professional. Sometimes your research won’t turn up anything and you’ll be left without a name to address. In that case, instead of addressing the letter to an individual, you can address the letter to the job title of the reader. For example, “Dear Hiring Manager of [Company].” If you can’t narrow down a job title, there’s always “To whom it may concern.”

Addressing a Cover Letter without a Company Address

Companies with several locations may have multiple addresses. Companies involved with remote work may have no address at all. When writing a cover letter without an address, you have several options:

  • Double-check for an address online. You may not have found it immediately, but diligent research can often turn up results. Consider checking the contact/about section of a company’s website, or searching for a Google My Business listing. Beyond that, you may also consider contacting the Department of Revenue to learn their state location, and follow up with their local chamber of commerce.  
  • Use the address of the company headquarters. It’s descriptive, professional, and better than leaving the address blank. This approach often makes sense for remote work, and for larger organizations where applications are passed through an HR department.  
  • Use their P.O. box number. If you can’t find a headquarters address, using a P.O. box number is the next best thing. Like with a headquarters address, it shows you made an effort.  
  • Leave the address blank. While an address can help prevent busy HR departments from misplacing your letter, outside of those circumstances, going without an address on your cover letter is not a grievous mistake. Hiring managers usually have more important things to worry about.

Before you reach the salutation, you have to make sure that the header with the recipient’s contact information is formatted correctly. 

It might not be the deciding point of whether you’ll secure an interview or not, but it will cost you points if it’s off. 

So, the first thing you want to do is add your name and surname on the upper left side of the cover letter. Underneath, you should write your professional title (if applicable), your email , and your phone number . 

Now, after you’ve also added the date, you should leave one more space and add the recipient’s contact information and, most importantly, the company’s address.

When You Can’t Find the Company’s Address 

Some companies might have several addresses listed (as per their branches, for example), or even none at all.

Considering that hiring managers receive countless emails daily, you want to make sure that yours is a job application immediately. And the way to do that is straight through the subject line, which should indicate exactly the position you’re applying for and your name so that it’s easier to find through the recruiter’s swarmed mailbox.

Many cover letter templates still show the intended company’s full physical address (sometimes after the applicant’s full physical address), with each address item on a new line.

This takes up at least a third of the page before getting to the actual letter.

Of course, it’s likely that including the company’s address is not going to hurt you, but there’s really no point since you aren’t sending the letter by snail mail. The address will just take up space, and the formality doesn’t carry any real meaning.

And, since including the company address in a cover letter is an outdated practice, you may set yourself up for ageism by doing it.

Instead, put your effort into addressing the hiring manager by name and creating compelling body content .

Wayyy back in 2012, Forbes wrote about changing formats and the importance of concision in the midst of changing norms about cover letters. They caught the gist of this issue a decade ago by pointing out the importance of content over format.

Your reader cares about what’s in your cover letter, not about an arbitrary formality, such as reminding them where they’re located.

Still not convinced that you should submit your cover letter without the company address, though? Maybe you’re still thinking, “Better safe than sorry.”

You’re likely submitting your application to a company online, rather than to their physical address.

Have you ever actually mailed a cover letter as a physical letter to a company in the last 20 years? If you have, well, you won’t need to for your next application.

The company may even be remote at this point, not operating out of its mailing address as it did in pre-COVID years.

Either way, you’re going to be submitting the application electronically, and they know their own location.

2. It makes your format look outdated 

Etiquette evolves with time. This aspect of cover letters hasn’t been much discussed in the public realm, unlike the development of applicant tracking systems, but the times have still changed.

Companies may have thought that including their address at the top of a cover letter was a polite formality in times past, but it’s difficult to imagine a recruiter today thinking, “Oh, they didn’t include our address? What an uncultured buffoon! No one with these improper manners will set foot in my establishment!”

And as we mentioned before, using an outdated format could even work against you. Unfortunately, ageism is a concern in the hiring world, and using a cover letter convention from 20+ years ago could lead to unhelpful assumptions.

3. It’s a waste of space 

Look at all that space taken up with of information that no one is going to read.

The body is the part that matters, since it’s where you introduce yourself to the employer and elaborate on why you’re a good fit for the job. Your vivid examples and compelling, perhaps transferable skill sets look best within half to three-quarters of a page .

Wasting space with the company’s address on multiple lines in your cover letter limits you and gives you less space to express yourself.

Of course, including the company’s address in the cover letter may not be a major turn-off compared to having a sloppy body, using an unprofessional email address , or not including a cover letter at all.

But it’s simply unnecessary at best, and a waste of precious space at the worst.

Should you include your own address on a cover letter?

Now that we’ve got that straight, what about your own address?

Just like on your resume, there’s no need to include your full address or ZIP code on a cover letter (i.e., your street address).

That said, you should include your general location so hiring manager knows your home base. This can be a city “Phoenix, AZ” or area, “Denver Metropolitan Area, CO.”

If you live in a small town near a large city, but you’re fine with commuting to that city for work, you can put the larger city name.

This applies even if the job is a remote job. Some employers want to make sure you’re in the same country, region, or state as the company location, even if you never have to physically go in to the office.

We advise using the same header for both your resume and cover letter, and this should include your name, city, email address, phone number, and LinkedIn profile URL.

Pro Tip: You can also repeat the email and phone number again as a CTA in the last paragraph of your cover letter. This way, you can be absolutely sure the company will know how to reach you.

In the world of online communication, often the only information you have about a company is its name and e-mail address. But, if you're applying for a job, you'll need to show the company that you're not only qualified for the position, but that you're also interested and invested in the company -- which may mean seeking out the information you lack. However, if you must write a cover letter and don't have a physical address for the company, you have some options.

Research the company as much as you can to find out the address of the company headquarters or Human Resources department. Visit the company's website and look for the "Contact Us" or "About Us" sections, which often provide physical addresses. If that doesn't bear fruit, visit the Web page for the Department of Revenue or Department of State in your state and perform a business name search. This will often provide information -- including a physical address -- for all companies registered in the state. If you manage to find the company's address in this way, it willv show the type of initiative that your prospective employer is looking for.

Type the specific name of the hiring manager, Human Resources director or other company contact at the top left of the cover letter, justified to the left margin. All the receiver's information will be left-justified at the top left of the paper.

Type the title of the company contact just under the name of the person.

Type the company name just under the company contact's title.

Type any physical address information you may have obtained from your search. If you've only managed to find a city and state for the company, type that on the line just below the company name. If you have a street address, type the street address on one line, and then type the city, state and ZIP code on the line below.

Type the e-mail address of the person or entity receiving the letter on the line just below any city, state and ZIP code you may have, or at the very bottom of the address section if you didn't locate the physical address.

Begin your cover letter by addressing the specific person to which the letter will be sent. Use the person's full name, if you know it. As a fall-back, you can address the letter to "Dear Hiring Manager," or "Dear IT Department Recruiter."

You should also include your own name, title -- if you have one -- and physical address near the top of the cover letter, justified to the right of the paper. If you're e-mailing your cover letter and resume to your prospective employer, include the documents as an attachment, in the PDF -- or Portable Document Format -- which is compatible with most computers. You can also paste the cover letter into the body of your e-mail, but be sure to also include that attached, printable copy.
